AI agents for hotels and resorts

In one line: the guest-facing concierge agent is the obvious build and the crowded one. The unclaimed win is the back office — night audit reconciliation, F&B costing and multi-property consolidation — where the work is daily, manual, and invisible to guests.

A night auditor working at a back-office desk behind a hotel reception after hours

Two agents, two very different returns

Front of house removes wait time. A guest asking about late checkout at 11pm gets an answer instead of a voicemail. Well-covered by vendors, and worth doing.
Back of house removes headcount-hours. Hospitality finance is unusually operational: revenue reconciles every single day through the night audit, F&B costs run against tight margins, and multi-property groups consolidate constantly. Almost nobody builds agents here.

We build both. We recommend starting with whichever is currently costing you more.

What this costs you today

The numbers behind the workflows above are not abstract.

8 hours
Night auditor shift, nightly · SiteMinder

A full shift every night

Night auditors typically work a standard 8-hour shift from 11pm to 7am (SiteMinder). At scale that is one FTE per property, every day of the year.

~30%
Of finance time on manual reconciliation · PwC

Reconciliation drag

PwC’s finance-effectiveness benchmark found manual data reconciliation consuming nearly a third of finance function time (PwC, 2017).

59.4%
Labour share of F&B expense · CBRE, 2025

F&B labour

CBRE’s 2025 Trends® survey of 2,669 U.S. full-service hotels found labour at 59.4% of total F&B department expenses, COGS at 24.0% and other at 16.6% (CBRE, Nov 2025).

~15%
F&B labour cost growth, 2024 · CoStar/STR

And it is growing fastest

STR recorded growth of nearly 15% year-over-year, with F&B rising to roughly 32% of total hotel labour cost (CoStar/STR, 2024).

$100,000
Per month, PCI non-compliance fines

The compliance floor

Every payment touchpoint sits inside PCI DSS scope, and any agent touching payment data inherits that scope.

USALI 12th Edition takes effect · AHLA/HFTP

Reporting tightens

The 12th Revised Edition introduces new Payroll FTE, mandatory brand cost, ESG/EWW and all-inclusive schedules (AHLA/HFTP, July 2024).

$300/mo
Guest-messaging vendor entry price · Hotel Tech Report, 2026

What point tools cost

Asksuite’s published tier sits at roughly $300/month; HiJiffy, Quicktext (Velma), Canary, Akia and Duve sit in a similar band (Hotel Tech Report, 2026).

Workflows we automate

Multilingual guest messaging

What it is. An agent handling pre-arrival, in-stay requests and post-stay follow-up across WhatsApp, SMS, email and web, in the guest’s language, with full booking context.
Who it’s for. Front office, guest relations.
What you get. Instant response at every hour, and a recognised returning guest rather than a stranger. We do not pretend this is novel — HiJiffy, Asksuite, Quicktext and Duve already do much of it. We build it when you want one stack across front and back office rather than two vendors.

Upsell and pre-arrival

What it is. An agent that reaches out before arrival with room upgrades, late checkout, dining and experiences priced to real-time availability.
Who it’s for. Revenue and commercial teams.
What you get. Incremental revenue on bookings you already hold. The agent pulls live availability from the PMS so it never offers something it cannot honour.

Night audit reconciliation

What it is. An agent that reconciles daily revenue across PMS, POS and payment gateway, flags variances, and prepares the entries for human approval.
Who it’s for. Financial controllers, night auditors, multi-property groups.
What you get. The daily grind reduced to exception review, with a full audit trail. Properties using automated reconciliation typically recover 4–6 hours of staff time per week (roommaster, 2026). The agent never posts entries itself; it prepares them and surfaces exceptions.

F&B cost and labour reporting

What it is. An agent that tracks food and beverage costs against sales, models labour against occupancy, and reports by property in USALI departmental format.
Who it’s for. F&B managers, GMs, group finance.
What you get. Margin visibility daily rather than monthly. With labour at 59.4% and COGS at 24.0% of F&B department expense (CBRE, 2025), a one-point swing in either is material.

Multi-property consolidation

What it is. An agent that consolidates nightly results across properties into a single group view, normalises USALI coding, and routes approval chains by property, department and approver.
Who it’s for. Group finance, cluster controllers, third-party management companies.
What you get. One portfolio close instead of N property closes. The structural failure mode at multi-property scale is document and approval fragmentation across sites — not transaction volume.

Review response

What it is. An agent that drafts responses to reviews across TripAdvisor, Google and the OTAs, matched to your brand voice, for one-click approval.
Who it’s for. Marketing, guest relations, GMs.
What you get. Response time down from days to minutes, consistently.

What we integrate with

Every platform below ships a documented developer API. We have verified each one before listing it.

LayerPlatforms
PMSOpera (Oracle Hospitality Integration Platform), Mews Open API, Cloudbeds, RMS Cloud (partner-gated), Protel (partner-gated sandbox)
POSLightspeed Restaurant, Toast (partner API), Square for Restaurants
Channel and revenueSiteMinder, Duetto, IDeaS (JSON RESTful API)
FinanceSage Intacct, Xero, NetSuite (SuiteTalk / REST)
CommsWhatsApp Business, SMS, email, web chat

If your stack is not on this list, ask during the audit. We will tell you honestly whether yours is one we can support.

The regulatory surface you cannot ignore

Hospitality sits inside three regimes at once, and any agent touching guest or payment data inherits all of them.

PCI DSS v4.0.1 covers every payment touchpoint. Non-compliance fines run up to $100,000/month. We design agents to never store, log or echo full card numbers, CVV or track data, and to push authorisation through PCI-compliant gateways rather than handling card data directly.
GDPR / UK GDPR / CCPA govern guest personal data — name, contact, stay history, preferences. Agents must support access, rectification and erasure requests, and disclose that the responder is automated. We build disclosure in by default.
USALI 12th Revised Edition (adoption 1 January 2026) defines how revenue and expense must be coded for comparable reporting across properties, brands and owners. Any reporting agent outputting financials has to map to USALI schedules or it produces numbers your auditors and asset managers cannot use.

The competitive landscape, honestly

You are not short of options. The question is which layer you buy and which you build.

Guest messaging (front of house). HiJiffy, Asksuite, Quicktext (Velma), Canary Technologies, Akia and Duve all sell mature AI concierge platforms from roughly $300/month per property upward. If your only need is 24/7 multilingual chat with PMS context, one of these is faster to deploy than we are.
Back-office reconciliation. Evention (Total Recon) and DocMX sell reconciliation and document workflow into hospitality finance. They are strong at document capture and approval. What they do not do is the agent reasoning layer — deciding when a variance is a real exception, drafting the journal entry, or running across PMS, POS, RMS and finance as one workflow.
Where we fit. We build when you want one agent stack across front and back office, or when the back-office workflow is the bottleneck and a point tool is not enough. We are not the cheapest way to get a chatbot live, and we will say so in the audit.

The discoverability problem nobody mentions

Guests increasingly find properties through AI assistants rather than search. If your rates, availability and amenities aren’t machine-readable and continuously updated, agents either don’t surface you or surface you wrongly — and a guest arriving expecting something you don’t offer is worse than not being found.

We build the agent and the structured data layer that makes you visible to the ones your guests are using. Ask about it during the audit.

Where we’d start

If we had to pick one workflow for a hotel group today, it would be night audit reconciliation across two or more properties. It has the clearest cost (a full FTE shift every night per property), the clearest integration path (PMS + POS + payment gateway + finance — all with APIs we have verified), and the clearest boundary for an agent (prepare, flag, escalate — human approves).

It also compounds: once the reconciliation agent is live, the same pipeline feeds F&B costing and multi-property consolidation as natural extensions. Starting with the concierge chatbot is more visible but rarely the highest-return first build.

Frequently asked questions

Will guests know they’re talking to an AI?

Yes — we disclose it, and it doesn’t hurt. Guests care about speed and accuracy far more than whether the responder is human. Anything emotionally sensitive escalates to your team with full context.

Can it handle multiple languages?

Yes, natively, without separate builds per language.

What if it gets availability wrong?

It reads live from your PMS rather than a cached copy. Where confidence is low it escalates rather than guessing. Hallucinated availability is the one failure mode we design hardest against.

Does the night audit agent post entries automatically?

No. It reconciles, flags variances and prepares entries. A human approves. Anything rolling into reported financials keeps human sign-off and a full audit trail.

How does this work across a group of properties?

One agent, property-level configuration, group-level consolidated reporting. Multi-property is where the economics get compelling.

Does the agent touch cardholder data?

No. Payment authorisation runs through PCI-compliant gateways. The agent reads transaction metadata but never stores, logs or echoes full card numbers, CVV or track data — that is what keeps it out of PCI DSS scope.

Can it write to Opera or Mews without us buying more licences?

Usually yes — both expose REST APIs that work with the API user your property already provisions for connectors. We confirm exactly what your subscription allows during the audit, before quoting.

What happens when the PMS goes down overnight?

The agent queues work, holds the reconciliation pending, and alerts the on-call controller. It does not “remember” figures and post them later from a cached copy — that is the failure mode we refuse to ship.

How is this different from buying HiJiffy or Asksuite?

If you only want 24/7 guest chat with PMS context, one of those is faster to deploy than we are. We build when you want one agent stack across front and back office, or when the back-office workflow is where your hours and risk actually sit.

When should we not hire you?

If your property is single-site, your night audit is already clean, and your only pain is after-hours chat — buy a guest-messaging vendor, not us. If you have no finance function, no PMS with an open API, or no appetite for a 4–6 week build, the project will not pay back yet.
